Publication:
This module captures information about and defines your publication’s advertising sales and costs. (if you have multiple publications, you can easily track each publication). The software allows you to enter each ad’s size and sales price associated with the ad, such as design, color, bleeding, etc. When a customer buys ad space, you can select the ad size from the list you have created and the system will do all the work of calculating sales price and costs, depending on the customer’s specifications.
Ads Sales Order:
By using this module you can type in an ad sales order information such as the advertising company, bill to company, publication and ad size. The user can edit or void any sales order. Production reports are available by publication showing the status of an ad sales order within any given date range.
Contracts:
Many publishing companies require their advertisers to sign a contract and many advertisers like to pay the contract amount in partial payments. This type of contract requires the system to generate multiple invoices for a single contract and automatic contract renewal by the contract type such as monthly, quarterly, semi-annual and yearly. We provide a separate contract entry screen that can be used to type in a contract with any deposit amount and then generate multiple invoices when the ad is ready. A contract renewal screen is available for automatic contract renewal.
Billing:
This module turns an ad sales order into an invoice. An invoice entry screen is available to do this job. You can also select a batch of sales orders by publication and turn them into invoices. That gives you the edge to void any sales order prior to its completion and billing. There are several billing reports, available by the publication and customer, showing the sales and customers' activity.
Subscription Renewals:
We can customize a stand-alone subscription renewal system for your business or include it as aseparate module into your magazine and newspaper management system. This subscription renewal system will automatically renew the publication for active subscribers and generate invoices for the subscription. Mailing labels are printed periodically, sorted by the customer name or zip code. You also have the ability to print a renewal notice if the invoice is not paid.
Export to Accounting Software:
Data such as company information, publication, ad sizes with price, customers and invoices are exportable to Quick Books, Peachtree and the MYOB accounting system. If you are currently using Visual Accountmate or SBT account software for your publication business, we can also customize your existing accounting system effectively
